Dear Publishers of Kindergarten through Grade Eight Reading/Language Arts–English-Language Development Instructional Materials:
Some publishers have expressed a concern regarding the entering of “Series” and “Item” information in the Submit 2.0 system that is used for the submission of detailed program information for the 2008 Reading/Language Arts-English Language Development Primary adoption. This concern centers on those publishers who wish to submit virtually the same program under more than one of the five program types used for this adoption. The specific concern is to avoid the reentering of the same Item information for the same submitted Series under a second listing for “Program Type” (refer to the Submit 2.0 User Guide for the use of terms, i.e., Series or Item). We believe there is a process that can be utilized to meet this concern.
We recommend that publishers follow the guidelines in the Submit 2.0 User Guide. After you have entered all the Items being submitted in your Series, download the information to a disk. The submission information that is uploaded from your submission CD, or floppy disk, into our Textbook database groups the information by subject area, then by the “publisher ID number”, and displays the Items in the order in which they were entered (Sequence Code order). If your company is submitting the same Series under two different Program Types follow the steps listed below:
1) Once the initial entering of the submission information is completed for the first Program Type save the entered information to a blank disk.
2) Go back into the Submit 2.0 system on the computer used for this submission.
3) Click in the Program Type field and select the additional Program Type you wish to use for this same Series in your submission.
4) CRITICAL STEP–Click in the “Sequence” field and change the sequence code number to a number larger than the last sequence code number used in the entry for the first Program Type. Each subsequent item’s sequence code number needs to be changed by increasing the sequence code number by an increment of 20. For instance, if the last sequence code number used in the first Program Type is 5000, then the first sequence code number used for the second Program Type could be 5020. Then each subsequent Item sequence code number could be 5040, 5060, and so on until the last Item has received a new sequence code number. Should you have additional Items for this second Program Type, which were not listed for the first Program Type, merely click the “Add Item” button and add the new Items. Should you have Items in the second Program Type that need to be deleted, follow the instructions in the Submit 2.0 User Guide for deleting Items. This process should ensure that the sequence code numbers for the second Program Type Series, and for each Item in the second Program Type Series, are greater than those sequence code numbers used in the first Series Program Type.
5) At this point save the second Program Type submission to a separate disk.
Both disks should then be submitted, along with the other submission documents listed in the Invitation to Submit, and the Submit 2.0 User Guide, by the deadline of:
March 5, 2008.
